The problem
At most distributors, last night's orders are checked against stock by hand: order slips added up, a register that is a day behind, a quick count of the godown shelf. Across dozens of orders the shortfall turns up at the van, after the cartons are already stacked.
Zesty Chips Rs20
Order slips
9:10 AM at the van
Half loaded. 2 cartons short.
Which shop goes without?
How it works
Follow Van 3 at Hilltop Traders through one morning, from yesterday's orders to the returns at day end.
Yesterday's orders reach the distributor from the field without anyone typing them in again: 12 invoices for Van 3, 60 cartons across four products.
Each product is checked against available stock, which is sellable stock less what other loads already hold. Zesty Chips is 2 cartons short, and it shows now, before anything is loaded.
Load L-1021 is created from what is really in stock: 58 cartons on 12 invoices for Asif Mehmood, with the 2 short cartons for City Mart noted on the load sheet.
When Van 3 leaves at 9:30 AM the 58 cartons move out of the godown balance, so the next load is checked against what is actually left.
Each shop visit is recorded as it happens. Raza Kiryana was closed, so its 5 cartons ride back on the van and return to stock as sellable.

What is included
Five parts of one stock record, kept for each distributor.
Current stock for every product, with sellable and damaged held apart. Search a product and open its history.
When orders are brought together for a load, every product is checked against available stock automatically. A shortfall is flagged before the load is created.
The day's orders grouped by booker and date, assigned to a salesman and loaded against stock, with booking sheets, load sheets and bills ready.
Every carton in and out is on record: purchases and receipts with charges and free products, loads issued and returns received. Stock purchase orders that company sales management enters for the distributor arrive here as purchases.
Returns are recorded at the shop with a reason and a condition, so only sellable cartons count as available again.
Connected across SELL 360
The same record runs from the shop counter to the day close, so the order, the load and the bill always agree.
Common questions
Yes, automatically. When the day's orders are brought together for a load, SELL 360 checks each product against available stock, which is sellable stock less what is already allocated to other loads. Any shortfall is flagged before the load is created, so you decide what goes on the van instead of finding out at the van.
The shortfall shows against the product and the orders it affects. The load can be split, the short cartons are noted on the load sheet, and the delivery is recorded short with the reason, so the shop and your team see the same record.
The delivery records what came back at each shop, with a reason, as sellable, unsellable or damaged. Sellable cartons count toward available stock again; unsellable and damaged stock is kept apart.
Yes. Each distributor has its own stock balances and movements, so validation runs against that distributor's own godown. Sales operations can follow stock in, stock out and returns across distributors.
Bring one van's orders. We'll walk through the check, the load and the returns with you.
