The problem

What a distributor bought. What it sold on. Two files.

Primary sales sit in the company's ERP or a spreadsheet. Secondary sales sit in the field app. When the area manager asks whether Hilltop Traders is holding too much Zesty Chips, someone matches the two by hand and works out the margin on every line again.

  • Purchase orders in one system, shop orders in another
  • Distributor margins worked out on a calculator
  • Sub distributor sales known only to the distributor
  • Review meetings spent reconciling instead of deciding

How it works

One purchase order. Followed through the network.

One stock purchase order for Hilltop Traders, the sole distributor behind Route 7.

  1. Step 1: Sales management enters the order

Company sales management enters a stock purchase order for Hilltop Traders: 450 cartons across 5 products, Rs 165,600 at trade value.

  2. Step 2: The margin applies itself

Hilltop Traders' 8% distributor margin applies to every line of the purchase automatically. Nobody reaches for a calculator: the distributor pays Rs 152,352.

  3. Step 3: Stock moves to the distributor

The 450 cartons are recorded into Hilltop Traders' stock, ready for bookers' orders and delivery loads.

  4. Step 4: On to sub distributors

Where the network has them, sales to sub distributors are recorded too: 70 cartons to Shadman Traders and 50 cartons to Ichhra Traders.

  5. Step 5: Primary next to secondary

Primary sales records build up beside the shop orders bookers take. The review shows what Hilltop Traders bought, what it sold on, and the 120 cartons still in its godown.

Running low? Order from the company.

Stock shows what is short. A purchase order goes to the principal, and the received cartons go straight into stock.

What is included

Everything between the company and its distributors.

Company Stock Purchase Orders

Company sales management enters the stock purchase orders that apply to each distributor, product by product and carton by carton. Orders are entered in either the Field Sales App, where the role allows it, or the Field Manager App. Each order stays on the distributor’s record.

Captured in either app

  • Field Sales AppAuthorized company sales users, with the role switched on
  • Field Manager App Authorized TSMs, ASMs and RSMs

Sole and Sub Distributor Transactions

Set up the network as it really runs. A sole distributor buys from the company and can sell on to its own sub distributors, and both sides of each sale are recorded.

  • Onboarding with rights, margins and documents
  • Each distributor’s type on its record
  • Sole
  • Sole Handler
  • Sub Distributor

Automatic Distributor Margins

The margin agreed with each distributor applies automatically to its purchases from the company. Retailer schemes are separate: they apply to secondary orders at the shop.

Distributor Stock Movement

Stock bought from the company adds to the distributor’s balance, and stock sold on to sub distributors and shops leaves it, so the balance always shows what is in the godown.

Common questions

Questions buyers ask. Straight answers.

Who enters stock purchase orders?

Company sales management enters the stock purchase orders that apply to each distributor. The order is then on the distributor’s record, with its margin already applied.

Do we need the Field Manager App to book primary orders?

No. Authorized users can enter primary orders in the Field Sales App when their role allows it. The Field Manager App is there for teams that also want structured manager field work, such as joint working and distributor checks. Confirm the setup for your team in a walkthrough.

How are distributor margins applied?

The margin set on a distributor’s record applies automatically to every line of its purchases from the company. At 8%, Zesty Chips at a trade price of Rs 20 costs Hilltop Traders Rs 18.40 a pack. Retailer schemes and discounts are separate and apply to eligible secondary orders.

Are sub distributors supported?

Yes. Distributors are set up as Sole, Sole Handler, Sub Distributor or Other, and sales from a sole distributor to its sub distributors are recorded as part of the network.

Can we compare primary and secondary sales?

Yes. Primary sales records sit next to the secondary orders bookers take, so a review can show what each distributor bought from the company and what it sold on.
